Summary As a Support Services Specialist you will be part of the Support Services Division. The purpose of the work is to ensure adequate administrative support regarding supplies, Personal Identity Verification (PIV), mailroom and facility and fleet management. This job is open to

Clarification from the agency This vacancy is open to current permanent, career/career conditional employees of the Veterans Benefits Administration (VBA) or displaced VBA employees currently residing within the local commuting area of Milwaukee, WI that are currently eligible under the Career Transition Assistance Plan (CTAP). CTAP applicants MUST submit their VBA issued displacement letter with application to be considered eligible. Duties
  • Evaluates and provides input for efficient utilization of space to include floor plans and design, ensuring proper cubicle design and required infrastructure.
  • Provides property management services including facilities, trouble calls, analyzing equipment requirements, remedying equipment repairs, conducting inventories, and disposing of equipment and furniture.
  • Oversees the fleet management program by coordinating day-to-day functions by documenting and authorizing operators, scheduling utilization and maintenance, and submitting required reports.
  • Conducts fact-finding or analyses to determine facility requirements based on RO organizational needs, service deficiencies, and appropriate resolutions to identified issues.
  • Responsible for the administration of the Personal Identify Verification (PIV) system, ensures proper issuance of PIV cards and manages administration roles. Acts as the PIV liaison as required.
  • Provide forms and publication services which consists of printing, reproduction and distribution of forms.Ensures equipment requirements are met for all forms and publications activities.
  • Evaluates and provides input into security plans and reports.Coordinates building security with appropriate authorities. Produces all reports associated with security.
  • Evaluates and provides input and recommendations for procedural improvements in all administrative functional areas.
  • Coordinates with acquisition personnel in acquiring office supplies and equipment, stores and distributes office supplies and equipment, and conducting inventories.
  • Participates in the development and implementation of policies and procedures.
  • Participates in the stations safety program by providing input, tracking and implementation of safety related items.

Qualifications Specialized Experience: To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Specialized experience is defined as work that involves:
  • Experience assisting with any facility issues, equipment, service operation design projects; and analyzing and assessing the efficiency and effectiveness of various administrative programs.
  • Experience administering government regulations relating to environmental, health, safety, and/or security standards which can be gained through such activities as conducting safety and/or security inspections, assisting or monitoring a safety and/or security program, and/or identifying and/or resolving safety and/or security deficiencies.
  • Experience in property management, inventory of supplies and/or equipment, procurement of supplies and/or equipment, and/or vehicle management, etc.
  • Experience in administration and management of an identity card program, to include, cardstock inventory management, card issuance, administrative oversight of role-holders, and issuing cards, as necessary.

    • Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M.
