Salary: $38,064.00 - $43,774.00 AnnuallyLocation : Asheboro, NCJob Type: Full-timeJob Number: 00419Department: Administrative ServicesOpening Date: 11/18/2024General Job Description The Support Services Specialist reports directly to the Facilities Operations Manager. The Support Services Specialist will play a critical role by assisting in housekeeping and maintenance supplies and repair procurement processes. This position will also perform numerous administrative support duties including mail, phones, filing and appointments. This position provides administrative support to facilitate facilities operations. This position will serve as the customer service point of contact for facilities support. Duties•Perform various administrative tasks, such as spreadsheets, contract review, bidding processes and assisting with updating departmental operating manuals.•Provide assistance to Facilities staff with the procurement of supplies, equipment and subcontract labor for maintenance, repair and construction projects.•Assist Facilities Management by handling mail merges, incoming calls, emails, coordinating appointments, filing, and monthly/quarterly/bi-annual reports to state. •Maintain and track any warranty, maintenance and annual agreements for Facilities including HVAC equipment, roof, new construction, elevator equipment and software licensing for HVAC controls.•Assists in scheduling events, inventory tracking, work order management, and maintaining facilities reports.•Assist with travel authorizations, purchasing procedures, credit cards, timesheets, and leave forms for Facilities staff.•Offer customer service by handling multi-line phones, messages and walk-ins.•Participate in departmental planning and evaluation.•Perform other duties as assigned by Facilities Management.Required and Preferred Qualifications Required: •Associate degree in office administration or related field or two years of experience in a related field•One year's customer service-related work experience.•Proficient in time management and highly organized.•One year's working experience with Microsoft Word and ExcelPreferred: •Bachelor's degree in office administration or related field.•Two or more years' working experience with Microsoft Word and Excel.•Experience with Colleague•Knowledge of construction terms and nomenclature.•One year's working experience in facilities, construction, or maintenance environment.College Requirements of all Employees•Demonstrated excellence in written, oral, and interpersonal communication skills.•Demonstrated commitment to diversity, equal opportunity, and the academic, intellectual, and social development of all students and employees.•An understanding of and commitment to the comprehensive community college philosophy and mission.•Treats others respectfully, speaks to others courteously, and behaves in such a way that creates a workplace environment that is marked by trustworthiness, honest but polite communication, and interpersonal interactions that are both personally cordial and professionally appropriate.•Acts as a team player when working with any and all employees of the College.•Serves on institutional committees as appointed by the President.•Performs other duties and responsibilities as needed.•Annually review all Randolph Community College safety rules and policies and be familiar with all emergency safety procedures. •Promote good safety habits and be compliant with OSHA safety regulations. •Randolph Community College conducts a background check and drug screening on all full-time new hires.Randolph Community College does not discriminate on the basis of race, color, national origin, religion, sex, age, disability, pregnancy, political affiliation, veteran status, sexual orientation, gender, gender identity or expression, or any other protected class under applicable law.
