Position DescriptionThe City of Temecula is seeking a highly motivated, customer service-oriented, team player to fill a vacancy in our Support Services division. The incumbent will lead the team providing centralized mail and printing services to internal and external City customers. The ideal candidate will be proficient in the use and maintenance of multi-functioncopy machines and other equipment used for print production. He or she should be comfortable performing various tasks associated with inter-office mail delivery and the shipping and receiving of packages and be knowledgeable in budgeting and inventory control.DEFINITIONUnder general supervision performs advanced technical and clerical work in providing centralized mail and multi-function printing services for internal and external customers.DISTINGUISHING CHARACTERISTICSThe Support Services Supervisor is the Operations Supervisor level classification in the Support Services series. The employee is responsible for coordinating mail services with outside postal agencies; planning, assigning and reviewing the work of Support Services staff. The Support Services Supervisor is distinguished from the Senior Support Services Technician by the level of responsibility assumed and the complexity of duties assigned.SUPERVISION RECEIVED AND EXERCISEDReceives general supervision from the Director of Information Technology/Support Services or his/her designee.May provide lead supervision to assigned staff. Examples of DutiesDuties may include, but are not limited to, the following:
- Supervises the receipt, sorting and delivery of a variety of interoffice and mail
- Oversees large-scale printing and document assembly requests
- Plans and assigns the work of subordinates
- Oversees the acquisition of rates and business reply permits in conformance with regulations; processes mailings and ensures proper billing to departments
- Reviews and revises internal operating procedures and City policy and procedures
- Oversees maintenance of all multi-function printers and specialized auxiliary equipment in all City departments
- Maintains inventory control of supplies
- Prepares copier usage reports
- Participates and oversees in the preparation and administration of the department budget; submits budget recommendations; monitors, reviews and approves expenditures
- Oversees centralized shipping and receiving function
- Arranges for equipment servicing, calibration and repair
- Oversees mailing procedures and postage rates in order to select cost-effective methods that fit within expected delivery deadlines
- Monitors the budget for achievement of goals and objectives; recommends program expenditures; maintains activity records; and prepares activity and budget reports
- Develops and maintains measures of employee workload and production; establishes performance standards; trains and provides input for the purposes of performance assessment of assigned staff or volunteers; and fosters a work environment that promotes positive morale
- Conducts pre and post trip inspections of vehicles to verify safety and proper operations or to identify potential problems; reports faulty equipment or operational problems
- Prepares and writes a variety of reports and documentation, including detailed Risk Management incident reports
- Performs other duties of a similar nature
Minimum QualificationsA combination of education, experience, and training that has provided the necessary knowledge, skills, and abilities is required for entry into the classification. The City of Temecula utilizes equivalencies to substitute two years of applicable experience and similar responsibility for one year of college in order for a candidate to meet Minimum Qualifications.
