We are also highly-ranked by Castle Connolly Medical, a healthcare rating company for consumers, among the top 5 leading U.S. medical schools for training doctors.Bargaining Unit:UUPJob Summary:The Department of Accounts Payable at SUNY Downstate Health Sciences University is seeking an hourly/per diem Staff Assistant / Support Specialist. The successful candidate will:
  • Receive incoming invoices through mail and email.
  • Stamp and log the incoming invoices in the data base. Keep the database updated.
  • Distribute the mail to the associates for processing.
  • Work with the Lawson system and pull receiving reports
  • Work on all tasks and projects as assigned in Accounts Payable
  • Learn the SUNY, State and Lawson system and help enter invoices in the systems
  • Work with the end users to obtain required signatures on invoices, ensure PO/Contracts have adequate funding to process the invoices
  • Learn the State Rules and regulations as it pertains to expenditure processing
  • Interact and provide excellent customer service to vendors, office administrators, purchasing staff, SUNY administration & the Office of the State Comptroller.
  • Participate in continuous process improvement and adhere to all regulatory requirements for New York State.
Required Qualifications:
  • A satisfactory equivalent combination of education, training, and experience.
  • High school diploma or higher.
  • 11+years of progressively responsible financial leadership roles with related experience involving accounting systems, receivables and payables, collections, accounting systems and procedures, reporting systems, coordination of departmental activities, evaluation of operating procedures and control of workflow, with at least 5 years' experience in a responsible level of supervision.
  • System knowledge - Eagle; Lawson; Sunrise; FMS, Allscripts and Epic Experience required.
  • Ability to perform under pressure in a calm manner & maintain a positive attitude.
  • Excellent, customer service, verbal, written, listening and interpersonal skills.
  • Proficient computer skills including Microsoft Office Suite. Must have intermediate Excel skillset.
  • Self-motivated and resourceful with the ability to multitask and successfully operate in a fast paced, team environment.
  • Ability to work well individually and in a team environment.
  • Must adapt well to change and successfully set and adjust priorities as needed.
  • Detail oriented and well organized.
  • Strong analytical skills.
