The Surgery Scheduler is responsible for the surgery coordination and education of services for our patients. Responsibilities include, but are not limited to premium services conversion, surgery scheduling, paperwork, and patient coordination of all procedures provided by our doctors. Must be extremely organized, detailed, a strong team player, and an effective communicator.Responsibilities:
- Responsible for the premium services conversion rate of our patients.
- Provides patients with pre-op and postoperative counseling.
- Schedule appointment dates/times for patients and physicians using a computerized scheduling system with the ability to assist patients in being compliant in pre-op and post-op regiments.
- Interact with patients, physicians, and other staff, both within the clinic/ASC and at outside facilities providing accurate, timely and responsive information.
- Coordinate processes and route all paperwork as required to meet physician and facility requirements. Provides accurate, thorough, and complete documentation of all information pertinent to patient treatment.
- Returns and responds to all calls relating to scheduling.
- Ensures any necessary medical clearances are obtained by the patient prior to surgery.
- Knowledgeable regarding co-management with referring providers and ensures compliance with the scheduling of post-operative visits. Communicates with referring providers as needed.
- Communicates with assigned physician and surgery center staff to ensure all special supplies are received prior to the surgical date and informs ASC/ hospitals of any add on patients. Reschedules appointments as needed.
- Helps with other ancillary tasks including but not limited to following up with patients that no-show or cancel surgical appointments, sending H&P orders and consents to outside hospitals, update surgical scheduler protocol handbook, constantly edit consents and documents as processes change, training sessions with our physicians, etc.
- Collects surgery and DME prepays
- Communicates directly with surgery representatives for each cases.
Qualifications:
- Minimum one year of experience as a Surgery Scheduler with strong organizational and interpersonal skills.
- Experience with EMR software (preferred).
- Experience with patient customer service. Familiar with obtaining authorizations and referrals.
- Knowledge of contracted insurance plans and procedures (preferred).
- Ability to work with Excel, Word, and medical software.
- Excellent oral/written communication and analytical skills.
- Must have the ability to travel to all our locations as needed to bring surgical packets to clinic.
- Ability to multi-task efficiently and effectively.
- Must be able to act calmly and effectively in a busy or stressful situation.
- Requires adherence to all policies and procedures, including standards for safety, attendance, punctuality, and personal appearance.
- Must be able to establish and maintain effective working relationships with managers and peers.
- Must be highly flexible; able to accommodate changing needs of the office. Knowledge and adherence to HIPAA, COMPLIANCE, OSHA.
- Ability to work well under pressure with minimal supervision. Skill in exercising initiative, judgment, discretion and decision-making to achieve practice objectives.
