About the Role
We are seeking a skilled and proactive Surgical Coordinator to join our corporate team. As a Surgical Coordinator at Performance Ortho, you will be responsible for the seamless coordination of surgical procedures across our ASC, other hospitals, and ASCs, while managing patient referrals to outside surgeons. You will attend surgical consultations, collect necessary patient information, and ensure procedures are scheduled efficiently. By working closely with our surgical team, you'll ensure all treatment options have been reviewed, documented, and communicated to surgeons before consultations. Strong multitasking abilities, attention to deadlines, and proficiency in Excel are key to succeeding in this role.
Key Responsibilities
- Surgery Scheduling: Coordinate surgical procedures with our ASC, hospitals, and outside ASCs, optimizing the use of operating room time and ensuring surgeon availability.
- Pre-Operative Coordination: Ensure pre-surgical testing, patient instructions, and medical clearances are completed and collected prior to surgery.
- Surgical Consult Attendance: Attend surgical consultations to collect necessary patient information and ensure all documentation is prepared for efficient procedure scheduling.
- Patient Communication: Serve as the main point of contact for patients, providing detailed information on surgery preparation, recovery, and follow-up care, addressing any concerns along the way.
- Referral Management: Manage patient referrals to outside surgeons, schedule consults, follow up on surgeon recommendations, and ensure proper documentation and communication with our doctors.
- Collaboration: Work closely with the surgical team to review all treatment options before consultations, ensuring surgeons receive relevant patient information in advance.
- Insurance Verification: Collaborate with the billing team to verify insurance coverage and benefits, securing prior authorizations as needed for surgical procedures.
- Documentation: Maintain thorough records of surgical cases, including patient files, consents, pre- and post-operative documentation, and follow-up instructions.
- Post-Operative Coordination: Schedule follow-up appointments and communicate post-surgical care instructions to patients.
- Compliance: Ensure compliance with HIPAA regulations and clinic policies to protect patient privacy and maintain the highest standards of care.
- Excel Proficiency: Use Excel to manage, track, and report key data points, including scheduling and patient information.
- Multitasking & Deadlines: Efficiently manage multiple tasks and priorities, meeting deadlines in a fast-paced, high-demand environment.
Preferred Qualifications
Minimum of 3-5 years of experience in surgical scheduling or coordination within a healthcare or ASC setting.Bachelor's degree in healthcare administration / Certification as a Surgical Coordinator or a related healthcare certification.Advanced proficiency in Microsoft Excel and other Microsoft Office applications.Proven ability to communicate effectively with patients, surgeons, and healthcare teams, both in writing and verbally.Ability to anticipate and resolve scheduling conflicts and other coordination challenges independently.Understanding of HIPAA regulations and experience implementing best practices to ensure patient privacy.Experience in a collaborative, team-based healthcare environment.Experience working in fast-paced environments, handling high caseloads, and managing time-sensitive tasks.Must be able to work in Somerset County, NJ Ideal Candidate Attributes
