Responsibilities
  • Provide support by tracking incoming actions, managing delegations, reviewing, and coordinating the Group's responses, and ensure timely responses
  • Provide support to facilitate effective communication among teams to ensure seamless day-to-day operations both oral and written at project level as well as executive level
  • Provide support by managing the calendars of the leadership team, as well as the shared calendars for the divisions and cells
  • Maintain accurate records of seating arrangements, onboarding new employees with necessary accesses and equipment, and managing office supplies and submit orders when necessary
  • Assist with coordinating travel arrangements, coordinating meetings and setting up meeting prep materials, and planning and executing offsite events, conferences
  • Ability to work cooperatively & collaboratively across Groups to support Office-level business processes
  • Provide monthly and/or weekly reporting
  • Ability to share professional expertise to integrate solutions and processes across organizational teams
  • Ability to work independently as needed to meet requirements
  • Ability to problem solve and be resourceful in solving challenging issues
  • Serve as secretariat for the weekly review boards to coordinate meeting logistics, facilitate discussions, and ensure that all necessary materials are prepared and distributed to include establishing meeting dates, times, agendas, and locations, as well as recording votes, meeting minutes, tracking action items, and to ensure that project submissions are completed using the correct templates
  • Support collaboration with stakeholders to identify opportunities for process improvements and implement adjustments to the organization's governance process and review board
Qualifications
  • Must possess and be able to maintain a TS/SCI clearance with Polygraph
  • Degree (or equivalent experience) in Computer Science, Information Systems, Engineering, Business or a scientific or technical discipline
  • BS 10-12, MS 8-10, PhD 5-7
  • Ability to fully coordinate project schedules
  • Ability to coordinate information flow that occurs between all programs and organizational managers
