Overview:

Our top-tier Private Equity client is looking to hire a Talent Associate to their growing team. This is a key role in ensuring the efficient management of the firm's recruiting and talent development processes. The ideal candidate will be a highly organized, proactive, and detail-oriented individual with experience in administrative support or talent management. This is an exciting opportunity to join a high-performing team and play a pivotal role in a fast-paced, dynamic environment.

The ideal candidate will have previous Financial Services or Private Equity industry experience.

Responsibilities:

Coordination & Scheduling:

  • Manage complex calendars for multiple senior executives and partners within the firm.
  • Coordinate interview schedules with candidates, hiring managers, and external recruiters, ensuring seamless communication and efficiency.
  • Arrange travel logistics for candidates and team members, including flights, accommodation, and transportation.
  • Organize and coordinate virtual and in-person meetings, ensuring all necessary materials and logistics are in place.
  • Track and maintain an up-to-date calendar for upcoming interviews, candidate follow-ups, and important recruitment milestones.

Recruiting Support:

  • Assist with the candidate intake process, from initial contact to offer stage.
  • Manage candidate communications, providing timely updates and managing expectations throughout the recruitment process.
  • Ensure candidate materials (CVs, interview notes, assessments) are organized, and support the creation of hiring reports and documentation.
  • Liaise with internal stakeholders to gather feedback post-interviews and assist with candidate evaluations.

Database & System Management:

  • Maintain and update the firm's recruitment CRM and talent management systems, ensuring accurate and timely data entry.
  • Help track and report on recruitment metrics, such as candidate pipelines, interview schedules, and hiring progress.

Team Collaboration & Administrative Support:

  • Provide administrative support to the talent acquisition team, including coordinating meetings and preparing materials.
  • Help maintain a smooth flow of communication between various departments involved in recruitment and talent development.
  • Support ad-hoc projects, such as organizing talent-related events or assisting in onboarding efforts.

Key Qualifications:

  • 1-3 years of experience in a talent acquisition, recruiting, HR, or administrative role, preferably within a high-touch, fast-paced environment - Financial Services industry experience necessary.
  • Demonstrated ability to manage competing priorities and manage multiple complex scheduling needs.
  • Experience in coordinating interviews, managing calendars, and providing exceptional administrative support.

  • Strong organizational skills with the ability to manage high volumes of information and a fast-paced workload.
  • Excellent written and verbal communication skills.
  • High attention to detail and a proactive approach to problem-solving.
  • Ability to work under pressure, demonstrating flexibility and adaptability.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint), and familiarity with recruiting software and scheduling tools (e.g., Lever, Greenhouse, or similar platforms).
