Overview:

The Talent Support Specialist is responsible for managing the staffing workflow from offer letter to the employee's first day of work. This role involves coordinating pre-employment activities, ensuring accurate and timely processing,and delivering a positive onboarding experience. The Talent Support Specialist will serve as a key point of contact for new hires, HR staff, and other stakeholders, providing guidance and resolving issues while maintaining a high standard of customer service.

Responsibilities:
  • Initiate, coordinate, and manage various stages of the staffing workflow while processing multiple case files simultaneously.
  • Develop offer letters and handle all aspects of the pre-employment phase using Taleo Recruiting and Onboarding modules.
  • Manage pre-employment screening processes, including initiating background investigations, reviewing results, and addressing issues with HR and legal counsel.
  • Initiate and communicate medical and drug screening results to stakeholders.
  • Ensure accurate PeopleSoft new hire data entry and verify payroll form completion.
  • Administer and update staffing components on the SharePoint team site.
  • Interact with new hires, provide guidance to HR staff, and communicate potential escalation issues to supervisors.
  • Assist candidates with paperwork and ensure they are set up in company systems.
  • Monitor clearances and support relocation processes as needed.
  • Evaluate and recommend process improvements, including adapting to new Taleo Onboarding workflows.
  • Perform other duties as assigned.
Qualifications:
  • 1+ years of HR Administrative experience required or background in Human Resources/ onboarding.
  • High School Diploma or GED equivalent required. Bachelor's degree preferred.
  • Strong written and verbal communication skills.
  • Excellent time management and ability to handle multiple tasks.
  • Proficient in Microsoft Excel and Word.
  • Experience with Taleo Recruiting and Onboarding modules preferred.
  • Detail-oriented and capable of ensuring accurate data entry and documentation.
  • Strong customer service orientation and ability to provide a positive candidate experience.
  • Familiarity with background check and pre-employment screening processes.
  • Must be able to meet all conditional job offer requirements including background, drug test, hair follicle.
  • Physical Requirements - Capable of lifting up to 35 pounds. Frequently stationary for extended periods, with occasional office movement. Regular computer use, including typing and viewing screens.
