Summary of Role: The
Tax Administrative Assistant will provide department administrative support to the assigned Tax Partners, Principals and Managing Directors ( PPMD Group ).The position will regularly interact with senior leaders, all levels of staff and clients. This is a position of supreme integrity, trust, and commitment to client experience, confidentiality and diplomacy. The position requires advanced project and time management experience and organizational skills, along with expert level competency in MS Office Suite. You will be responsible for:
- Work collaboratively with the administrative team to support the administrative needs of the tax department its PPMDs as assigned. Preparing tax compliance and tax consulting engagement letters for tax clients.
- Delivery of tax organizers for clients via SafeSend, Box.com secure email or via USPS.
- Coordinate with Firm's Finance Department on monthly client billing invoices and follow up as needed with PPMDs and/or clients on delinquent invoices.
- Working with client teams to deliver consent forms, tax returns, memorandums and other documents to clients in a timely manner. Follow up as needed with clients for executed documents.
- Working with PPMD and other client service team members to manage and coordinate client engagements, including timing for completion and review by the PPMD.
- Assisting with team or department gatherings, including but not limited to independently scheduling internal and external meetings, confirming appointments, etc.
- Interact with clients and prospects to support existing client relationships and the development of new business relationships of assigned PPMD.
- Provide back up and support a cross functional administrative team on administrative and non-chargeable tasks.
- Assist and respond to client queries, to potential client queries, or route calls to PPMDs and/or staff as appropriate.
- Perform other duties as may be assigned.

- Experience managing multiple assignments/projects and conflicting priorities with the pressure of short, demanding deadlines in a high-volume, fast-paced, deadline-driven environment and ability to handle multiple projects while prioritizing, planning and organizing projects simultaneously.
- Requires high-level attention to detail, organizational skills, and the ability to meet tight deadlines while following complex, multi-step procedures to complete tasks and tax deliverables.
- Drive to provide excellent administrative support to clients and staff while working in a team environment.
What skills & experience you'll bring to us:
- A minimum of at least five years' experience in a supporting administrative role.
- A minimum of 2 years in a Professional Services (Accounting) firm setting.
- Proficiency with Microsoft Office Suite (Expert Level in Word, Excel and Adobe).
- Experience with cloud based programs such as Box.com and DocuSign, is a plus.
- Experience with virtual meeting applications, Zoom or MS Teams.
- Ability to quickly learn and implement use of software as rolled out by the firm.
- Ability to type 75 words per minute accurately.
- Basic accounting knowledge preferable.

The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. Any offered salary is determined based on internal equity, internal salary ranges, market data, ranges, applicant's skills and prior relevant experience, certain degrees and certifications (e.g. JD, technology), for example. At GHJ, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is: $60,000-$100,000.
