Must Have: Automation MS Planner Power Automate Smartsheet JOB DESCRIPTION Position: Technical Consultant Mode: Temp project to start ASAP for about 2 weeks (possibly longer) Remote - EST Rate: we expect candidates to be in the ***-***/hour pay range Profile: Senior Technical Consultant that can establish a robust and scalable infrastructure to help automate projects within the AP Instructional Design team. The selected candidate will need to have expertise in: - Power Automate - SharePoint - MS Planner / Outlook - SmartSheet -Automation experience Process: Submission comments on fit to role and LI Profile > .5 - .75 video w/manager What you'll do Work with the Executive Director, AP Instructional Design to • Set up a robust and scalable infrastructure to manage multiple projects effectively. • Selected Consultant will need technical knowledge of key tools (Power Automate, SharePoint, Smartsheet, MS Planner/Outlook) needed to boost efficiency and integrate systems is limited and/or constrained by team bandwidth 1. Power Automate Workflow Setup (estimate 20-30 hours) a. Key Deliverables: i. ssess and document priority needs and requirements for workflows ii. Create and test workflows that integrate Smartsheet tasks with Microsoft Planner and Outlook Calendar for task assignment and visibility iii. Develop additional flows to automate workstreams between Smartsheet and Microsoft applications, ensuring alignment between project management tools and contributors' primary work tools. iv. Provide documentation for workflows to ensure ease of maintenance by internal staff b. Value Add i. Streamlined task management will enhance visibility and reduce manual overhead for project team and key contributors 1. This will also allow and facilitate tasks being completed on time and proactive schedule management ii. utomating repetitive processes will allow project managers to focus on higher-value activities 2. SharePoint Site Development (estimate 25 hours) a. Key Deliverables: i. Build an organized, user-friendly SharePoint site to serve as a centralized hub for key communications, resources, and portfolio work insights included dashboards and progress reports ii. Create permissions-based access for ELT and external stakeholders to view high-level portfolio updates while excluding access to operational details. iii. Train internal staff on basic SharePoint management for future updates iv. proposed communications plan and/or norming document to ensure streamlined and updated communications (e.g. newsletters, cadence for updating site pages, etc.) v. Training materials and assets (videos, one pagers) and to help orient users to Sharepoint site b. Value Add i. centralized location will improve transparency and collaboration, reducing time spent searching for resources or updates ii. This hub will serve as a professional and efficient communication platform for both internal and external stakeholders and will help inform decision making when leaders have real time access to pertinent information w/o having to ask for updates 3. Roadmap for Future Improvements (estimate 10 - 15 hours) a. Key Deliverables: i. Provide a roadmap identifying potential future enhancements to the infrastructure, focusing on scalability and adaptability to evolving department needs. ii. Include prioritized recommendations for iterative improvements after the minimum viable product MVP launches iii. Stakeholder interviews to get insights into pain points and areas for improvement that need to be addressed in future infrastructure considerations b.
