The Department of Administration currently has an opening in the State Leasing Program as a Technical Records Specialist 2.We serve Idaho by promoting responsible government through expert customer support.
Examples of Duties:- Maintain lease list database and publish monthly. Send updates to agencies on a periodic basis as required by agency. Publish list of upcoming lease renewals monthly for PBFAC.
- Manage 5-Year Facility Needs Plan, track responses and prepare presentation.
- Prepare lease documents and customize each lease to fit transaction as negotiated.
- Submit real estate tax exemption requests to county assessor's offices on an annual basis.
- Notify agencies of upcoming lease expirations, prepare lease renewals and sample letters
- exercising options to renew.
- Set up files and maintain correspondence. Track deadlines for responses from property owners and agencies.
- Prepare lease assignments, check references and transmit them over to the state controller's office. After approvals are received, prepare lease amendment to change building ownership.
- Maintain good knowledge of policies and procedures; explain complex policies, procedures, and lease language to agencies, Lessors, and other personnel.
- Prepare PowerPoints as needed for Leasing Manager presentations.
- Independently prioritize pending lease documents for Leasing Manager.
- Track all pending lease document files; files reviewed weekly, and agencies/Lessors contacted as needed to ensure timely completion of all documents.
Minimum Qualifications: Experience:- Monitoring record systems to identify and correct errors
- Interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs
- Analyzing information and researching a variety of sources to identify and resolve problems or issues
- Dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations
- Entering and retrieving data using a computerized record system
- Composing and proofreading business correspondence
Good Knowledge:- Knowledge in an office environment including filing, MS suite and Adobe software knowledge, monitoring records to identify and correct errors, and entering and retrieving data from database.
- Knowledge in Commercial Real Estate Leasing, Property Management and Real Property Investments is preferred but not required.
- Knowledge in construction and/or building maintenance is preferred but not required.
