  • Manage complex calendars, scheduling internal and external meetings, while proactively resolving conflicts and ensuring efficient communication.
  • Serve as a gatekeeper to executives, optimizing their schedules for maximum productivity.
  • Liaise with other administrative assistants to coordinate collaborative meetings and provide backup support when needed.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation.
  • Manage expense reporting and reimbursement processes, ensuring compliance with company policies.
  • Support and coordinate special projects and initiatives, collaborating with cross-functional teams.
  • Organize events and team meetings, including off-sites and on-sites.
  • Handle ad hoc projects as required.
  • Maintain confidentiality regarding all sensitive and confidential information.

  • Minimum of 5 years of administrative assistance experience.
  • Proven ability to take initiative, set priorities, and exercise strong judgment.
  • Exceptional organizational and time management skills, with the capacity to effectively prioritize tasks and meet deadlines.
  • Highly proficient in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Teams, as well as WebEx or similar video conferencing tools.
  • Experience with Concur or similar platforms for travel and expense management.
  • Superior written and verbal communication skills.
  • Ability to proactively close loops and take initiative.
  • Capable of handling sensitive and confidential information with discretion and professionalism.
  • Collaborative mindset and strong teamwork skills.
