**CarMax Digital - Dallas Operations Coordination**

+ Partners with Building Management to include: issuing badges, parking passes, door security, lockers and maintaining key access to office and other building amenities

+ Consults with Home Office Home Office Environmental Health and Safety team to oversee local Emergency Response Plan.

+ Manages small to medium projects for: events, facilities, construction coordination, employee engagement, technology improvements, etc.

+ Facilities support for: mail pick-up/drop offs, cleaning crew, landlord requests, parking management, event approval and execution

+ Provides updates to core stakeholders on state of the office and progress against initiatives

+ Consults with and communicates to office staff regarding events, building changes, volunteer opportunities

+ Coordinates procurement requests for office and staff

+ Manages a backlog of requests, ideas and improvement opportunities for the office

+ Provides rapid response to onsite Technology, Facilities, and Security issues as they arise

+ Provides light technical support for conference room equipment troubleshooting

**Recruiting & HR Support**

+ Greets, welcomes, and wraps up each candidate interview

+ Facilitates background screen, abilities and AOI testing

+ First day coordination of new candidates in partnership with their manager

**Event Management**

+ Oversees office event logistics and facilitation: reserve rooms, work with caters, ensure appropriate AV equipment

+ Partners to find community engagement and volunteer opportunities for office staff to increase CarMaxs presence in their new location

+ Leads team of volunteers or a committee as needed, delegates and prioritizes tasks

**Travel and Logistics support**

+ Coordinate and manage travel arrangements for assigned A/VPs and Directors

+ Anticipate manager needs while traveling and that all components of the travel are planned thoroughly (i.e. meals, etc.).

+ Complete and submit all related T&E reports using the Concur System.

+ Ensure all expense reports within teams supporting are handled timely and accurately.

+ Fully own and coordinate meetings and events as requested, to include: scheduling, preparing materials, logistics and communication.

**General Administrative**

+ Full management of Office 365 calendar including both short and long-term meeting/event planning and proactive analysis of calendar changes or questions where action by Assistant is necessary. Ensure components such as travel time, work time are incorporated into managers calendars.

+ Proactively guard key meetings and work times while being flexible as needed

+ Within established guidelines, make independent decisions regarding planning, organization and scheduling of work and proactively identify, prioritize and communicate to A/VPs, issues that need immediate attention.

+ Perform other administrative duties as assigned

**Qualifications and Requirements**

+ Minimum of Associates Degree or equivalent work experience; 4 year degree preferred

+ Minimum 1-3 years office management or customer relations experience

+ Advanced knowledge of Microsoft Office (PowerPoint, Excel, Word, Outlook)

+ Excellent organizational, written and verbal communication, and customer service skills

+ Detail oriented, able to multitask and meet changing deadlines, and dependable

+ Work well in a team environment, energetic, professional and positive

+ Must be self-directed and able to complete project with limited supervision

+ Maintain confidentiality

+ Demonstrated skills in vendor-client relationship building

+ Demonstrated project oriented skills including small and large scale rollout plans

+ Ability to effectively present information and respond to questions from managers, associates, contractors, vendors and customers
