The Temp Associate - Document Management will play a crucial role in establishing the framework of an enterprise-wide document management system. The Temp Associate will develop and implement the systems and processes for overseeing the entire lifecycle of documents, from creation and storage to retrieval and potential disposal, while ensuring that information is accurate, accessible, and secure for both internal and external stakeholders. This is a temporary role to develop, establish and implement systems and processes with multiple stakeholders across Sphere. What will you do?

  • Conduct exploratory analysis of needs and requirements to design the enterprise-wide document management system utilizing strong knowledge and experience in Microsoft SharePoint, OneDrive, and other data storage services.
  • Identify needs for data governance, and security frameworks to achieve exceptional levels of confidentiality, integrity, and availability in the system design.
  • Establish and maintain an efficient document control system, including organizing, categorizing, and indexing documents.
  • Develop document management policies and procedures and develop SOPs in standardized company format.
  • Implement processes and train internal stakeholders on document management procedures.
  • Develop and implement process for external partner access to the document management system.
  • Manage document retention schedules and ensure compliance with legal and industry-specific requirements.
  • Conduct regular audits to assess document quality, accuracy, and availability, and make recommendations for improvement.
What do you need to succeed?
  • 3+ years developing technical expertise using various documentation platforms.
  • Previous experience architecting efficient document storage and retrieval structures mechanisms.
  • Proficient understanding of design and implementation of new enterprise-wide systems and document management solutions.
  • Experience working with Data Governance, Security, and development members to deliver custom document management solutions.
  • Ability to develop requirements for documentation and choose an ideal platform for our organization.
  • Ability to lead projects to design an organization's information storage and security processes.
  • Ability to assist and train different departments in an organization on storage of documents.
  • Experience consulting with senior leaders.
  • Excellent verbal and written communication skills.
  • Fluent in Microsoft SharePoint, Office Suite and related software.
  • Creative problem-solving skills.
