Job Description:
This temporary position assists the Director with managing the events and budget of the Center for German and European Studies (CGES), requiring a broad knowledge of German culture and politics, experience with webpage upkeep, clear and friendly written and oral communication including via social media, use of Constant Contact/Shutterstock/Zoom, versatility with Excel and Workday a must, also Word/Adobe/Canva, ability to follow Center policies and University rules and regulations to assist with all aspects of this program. Supervises student assistants who perform some of the more routine functions.Essential & Other FunctionsAssists the CGES Director in all efforts related to events. Manages in-person, online, and hybrid events, oversees the Center's event schedule and event-related deadlines. Organizes, coordinates and supervises events, guest lectures, various workshops, conferences, and luncheon talks, weekly staff meetings, semester executive committee meetings, including corresponding with event participants and speakers and compiling attendance lists. Coordinates with others on campus to ensure the best results for events. 30 %Co-manages the Center's budget. Prepares and maintains the Center's records and tracks and analyzes budget spending. Processes all payments. Files documentation of financial transactions. 30 %Oversees tasks and weekly payment of student workers. Supervises student workers. 5%Handles event marketing and PR, including online (website management, email newsletter, social media accounts, online marketing tools) and oversees on-campus marketing (design, creation and distribution of posters and flyers). Handles the Center's email correspondence and personal communication as needed. 15%Attends administrative meetings and trainings and communicates relevant information to the Director. Acts as liaison between the Center and other University offices, including the Office of Communications, the Goethe-Institut Boston, and other Centers and Institutes on campus and beyond. Creates related communication content. Updates Brandeis calendar with CGES events, supervises students' production of flyers for events, and ensures proper posting of events on campus. 20%Additional Job Description:Education: BA/BS requiredWork Experience: 1-3 years of total work-related experienceProficiency in written and spoken German a plus. Event planning and management experience strongly preferred. Knowledge of Microsoft Office suite required. Familiarity with Workday a plus. Must have basic math skills for accounting purposes. Must be able to work independently and remain organized. Must have excellent communication skills.
