Administrative Assistant Temporary Pool

Summary

Applying for this position will place you in a general temporary pool of candidates with Southeast Missouri State University for non-benefit eligible positions in departments and campuses throughout the University. Qualified applicants are placed into temporary administrative assistant assignments as positions become vacant; when regular employees are absent; during peak work periods; and for special events. Temporary administrative assistants may work up to 29 hours per week.

Duties and Responsibilities:

* Provides administrative support to the assigned department

* Performs computer applications, including word processing, spreadsheet and database,

* Processes department requisitions, invoices, expense reports and transfers

* Orders department supplies

* Answers and directs department phone calls

* Schedules appointments and meetings for the department

* Enrolls students in education courses and maintains course wait lists (if supporting Academic unit)

* Organizes and processes textbook orders and advising assignments (if supporting Academic unit)

* Handles confidential materials

* Oversees training, scheduling and work assignments for student workers

* Attends and records minutes of department meetings

* Assists current and prospective department students

* Any other duties as assigned by supervisor

* High school diploma or GED

* Excellent organizational and time management skills

* Excellent interpersonal, verbal and written communication skills

* Demonstrated ability to handle multiple tasks with frequent interruptions

* Demonstrated ability to synthesize detailed information to make sound, independent decisions with minimal supervision

* Demonstrated bookkeeping skills

* Ability to initiate and maintain positive relationships with students, faculty, staff and the public

* Demonstrated experience and understanding of customer service

* Demonstrated commitment to a diverse work environment, including working with multi-cultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
