Temporary Administrative Assistant - Institute for Ethics and Integrity in Journalism and MediaSalary: $21.00/hour Location: Institute for Ethics andIntegrity in Journalism and Media Position Status: Part -time Temporary Hours: 25 hours per week Position Number: 870563 /70-163 FLSA Status: Non-exemptPOSITION SUMMARY:Under the generaldirection of the Institute Director, the temporary part-time AdministrativeAssistant will undertake a wide range of business and administrative tasks thatmay require considerable independence, judgement and discretion. Individualmust be detail-oriented, focused and hard-working. The position will involve scheduling andprogramming, marketing and promotion, website updates, budget oversight fortravel, honoraria, and specialized event planning.DUTIES ANDRESPONSIBILITIES:KeystoneNews SummitArrange meetings with key partners and take minutesof all meetings involving summit partners, including the general meeting andmeetings of the various committeesKeep track of to-do items and outstandingtasks along with names of people required to complete those tasksCollaborate with graphics/website and eventplanning team at TempleAssist with registration - outgoing andincomingAssist with event program materialsAttend summit event to assist with day-ofneedsKeep track of contacts and send save thedate notices regarding summitCoordinate with marketing communications teamsto promote summit, including alumni relations, department of marketing andcommunications, and College marketing communications managerWrite short descriptions of summitHelp coordinate travel and expenses for summitspeakersAssistance to director and managing fellowAssist director and managing fellow regardingcorrespondence and record keepingAssist director and managing fellow to arrangefor professional speakers, including any travel requirementsAssist director and managing fellow toschedule and manage outstanding tasksMonitor Institute email accountNotify director and/or managing fellowregarding any incoming email needing attentionAssist director and managing fellow in themarketing and implementation of public programsUpdates to web pages and social mediaRegularly update Institute web pages ascircumstances dictateProvide updates to summit website (www.keystonenewssummit.org) through Templegraphic artist Assist IEIJM Grad Assistant in regularlyposting Institute news and/or short videos to the Institute's social mediasites, particularly during summer months Search for and submit posts about newsindustry stories to the Institute's social media sitesMaintain schedules and minutes for severalgroups Advisory council Coordinate with advisory council members toarrange best time/dates for meetings Send reminder notices for upcoming meetings aweek before, two days before and a day before each meeting Take minutes during meetingsFellows meetings Coordinate schedules of director, managingfellow and professional fellow for monthly meetings Take minutes of meetings and submit to memberswithin a day of the meetingSupport Visiting media scholar Help coordinate scholar's schedule and anyneeds the scholar has for virtual teaching Act as liaison between scholar and students,if requested Act as informational liaison between scholarand media department, as needed Help onboard scholar with human resourcesdepartment Completes otherduties as assigned.REQUIREMENTS:Minimum qualifications:Associate's degree from an accredited institution and 1-3 years of work-related experience.Preferred qualifications:BA or BS - Business Administration, Marketing, and/or Media Technology from anaccredited institution.More than 3 years of related workexperience with prior experience in higher education is preferred.It is preferred that any applicanthave specific professional or academic experience with media design and thedisciplines therein.Alternately, the successful candidate may possess any equivalent combination ofexperience and training, which provides the knowledge, skills and abilitiesrequired to perform the essential job functions. This includes, but is notlimited to, the following:Associate'sdegree or higher is required. Working knowledge of Word and Excel andexperience with basic budgeting and accounting is required. Strong grammar and communication skills arerequired. Ability to balance multiple tasks is required. Ability to work independently, exercisediscretion and handle confidential matters is required. Professional attitude required.
