Job Description:
The Flatiron Institute, an internal research division of the Simons Foundation, is currently seeking a temporary Administrative Coordinator to support the Center for Computational Neuroscience (CCN). This is a temporary position (40 hours a week) with an anticipated started in November 2024 and expected to last until March 2025. The coordinator will be trained on administrative support appropriate to the role and will be expected to work closely and cooperatively with other admin team members and with the center's senior scientific leadership. The coordinator will be vital in creating a welcoming, supportive, and productive atmosphere for the center itself.ESSENTIAL FUNCTIONS/RESPONSIBILITIES
  • Serve as the first point of contact for in-person staff, center visitors and guests.
  • Update and maintain the center's various communications channels including the departmental welcome slide deck, email and contact lists.
  • Manage center phone booths, conference rooms, classroom, and 4th floor pantry.
  • Assist with CCN Seminars including registering seminar speakers and ordering their lunch, coordinating the seminar speaker's schedule, orienting seminar speakers while on site, and setting up the CCN classroom for talks.
  • Assist with group and project meetings and workshops including polling for availability, collecting meeting materials, ordering catering, coordinating internal calendars and maintaining the center's contact lists.
  • Assist with planning, preparing for, and executing CCN events including software workshops and conferences.
  • Foster and build good working relationships, both internally and externally. The coordinator must be able to work well with a variety of people.
  • Perform any other duties or tasks as assigned or required.
MINIMUM QUALIFICATIONSEducation
  • Bachelor's degree preferred
Experience
  • At least 2 years of experience in high-level administrative support
  • Previous experience coordinating travel, handling complex calendars for various high-level personnel, and scheduling and hosting events is a plus.
  • Previous work in a scientific research or academic setting is a plus.
Related Skills & Other Requirements
  • Consistent accuracy, careful attention to detail and the ability to organize many complex assignments and activities simultaneously are required.
  • Excellent interpersonal, verbal and written communication skills.
  • Familiarity with Google Sheets, Microsoft Excel and Microsoft Word in Mac OS environment.
  • Resourcefulness and good judgment
  • Willingness to take responsibility and the capacity to work independently with minimal oversight
  • Ability to interact with a diverse population and a can-do spirit to help create a team culture
  • Must be willing and able to work occasional evenings

COMPENSATION
  • The compensation for this position is an hourly rate of $29.32 - 33.65 per hour.
