General Overview

Under general supervision, perform general clerical tasks (e.g. picks up, open and distribute mail;, scheduling, data entry, record management, copying, collating, scanning, faxing, typing, coding, document processing, research, etc.) Prepare correspondence and update information by entering data in computerized systems. Attend meetings and training's as needed and/or required; Greet visitors, answer telephone; provide information; take messages and/or refers calls. Assist with special projects as assigned. Performs other related duties as requested, directed, or assigned.

Required Qualifications

Any combination of training and work experience which indicates possession of the skills, knowledge and abilities listed below.

Completion of secondary education supplemented by courses in office practices and procedures and business equipment operation, plus two (2) years of clerical experience, or equivalent combination of training and/or experience.

Knowledge of data processing techniques and procedures; department policies and procedures*; office practices and procedures*; State of Ohio and agency systems (e.g. Outlook*, etc.); customer service principles, methods, and techniques; department goals and objectives, record management; public relations. Ability to address problems involving several variables within familiar context; add, subtract, multiply, and divide whole numbers; use proper research methods to gather data; gather, collate, and classify information; work independently; answer routine telephone inquiries; communicate effectively; carry out detailed but basic written or oral instructions; arrange items in numerical or alphabetical order; address problems involving several variables within familiar context; prepare and maintain accurate records according to established procedures; sort items into categories according to established methods; effectively address basic, routine inquiries of government officials, management staff members, general public, clients, vendors, providers and co-workers; work efficiently within time constraints and deadlines; clearly and effectively communicate information in written or spoken English; listen well, ask relevant questions; use a computer to draft documents. Ability to show respect for the opinions of others and work to ensure an atmosphere free of interruptions, difficulty, and/or discrimination; demonstrate regular and predictable attendance as specified in the Summit County Codified Ordinances and/or the Executive's Human Resource Policies and Procedures Manual; be punctual and timely in meeting all requirements of performance; beginning and ending assignments on time; develop and maintain courteous and effective working relationships with fellow staff members, clients, vendors, and/or any other representatives of external organizations. Skill in typing, computer operation; calculator operation. Skill in data entry, computer operation, systems, and application programs (e.g. Outlook*, MS Office, Document Imaging*, etc.); calculator operation; office equipment operation.

Job Duties

Clerical Functions

Perform general clerical tasks; *utilize computerized system to process, generate and distribute documentation related to the various functions of the assigned work unit; *prepare and complete client sanction documentation; *process financial and budgetary statements, purchase orders, billings and logs; *verify and computes statistics; *monitor client's attendance to required information sessions; *categorize and scan case documents; *prepare and maintain reports; types forms/labels; *collect, open, stamp, distribute and send out mail; *perform copy work including e-copy, document imaging and e-faxing; *perform minor additions, deletions and adjustments to filed information; count, alphabetize, collate, code, sort, staple and or stuff mail, letters or filed information; maintain bulletin board; *answer telephones, provide information, take messages and/or refers calls; *greet visitors and clients; *type, enter, and verify information; *maintain control logs (written or computerized); pull outdated, duplicate or unnecessary files and/or documents (manual/computerized) for destruction in accordance with program guidelines for destruction; make minor additions, deletions and adjustments to filed information; count, alphabetize, collate, code, sort, staple and/or stuff mail, letter or filed information; maintain files and records, search files and retrieve requested information or material; *perform data entry tasks; *research filed data and gather information; assist with special projects as assigned.
