The Temporary Office Coordinator III performs a wide variety of departmental functions for the Rene Crown University Honors Program that require independent judgment and a high level of confidentiality to support students, faculty, and staff. The position provides general administrative support to the Honors Program and directly oversees department student employees. The Office Coordinator is present in the office to provide services to campus constituents; serves as go-to resource for faculty and staff by keeping current on College and University policies/activities; maintains strong professional relationships across campus; and provides assessment and recommendations on unit policy and operational changes to the program leadership.
Education and Experience
* Associates Degree or equivalent combination of education and experience.
* Two (2) plus years of administrative, higher education, student services, managerial and budgeting experience.
Skills and Knowledge
* Solid understanding of Microsoft Office and Adobe Professional suite, with the ability to create and revise documents.
* Good oral and written communication skills.
* Solid interpersonal skills.
* Good organizational skills, and the ability to multi-task in a fast-pace professional environment.
* Ability to maintain a high level of confidentiality with sensitive information.
* Knowledge of PeopleSoft or related system is preferred but not required.
Responsibilities
* Serve as initial departmental representative to incoming constituencies as appropriate.
* Perform customer service duties by providing general information.
* Manage and coordinate departmental calendars, schedules, room reservations, and appointments.
* Maintain departmental files and documentation.
* Provide general office support.
* Assist in the preparation and editing of correspondence, coordinate mailings, and manage department listservs.
* Support and update the department's website content and social media outlets.
* Train, supervise, and provide evaluative feedback for student employees.
* Adapt and retool as campus business processes develop over time and, as a result, assignments are reviewed and revised.
* Monitor and order supplies and services. Process employee expense vouchers, travel vouchers, credit card reconciliations.
* Assist with planning and execution of department events.
* Compile and analyze financial data from online reporting systems.
* Prepare financial reports as required. Work with college Budget Office staff to resolve budget questions
* Under the direction of the Assistant Director, assist with class scheduling, classroom assignments, and other miscellaneous academic-related issues for the Program.
* Assist program directors and faculty with confirmation of classes each semester, verifying accurate posting of course-related information to MySlice.
* Assist Honors instructors with their day-to-day involvement with the program (classroom technology access, course material printing and supplies).
* Act as liaison for the department by communicating with other divisions and departments across campus.
* Interact with faculty, staff, students, and general public as needed.
* Communicate with the University community on behalf of Honors through Listserv and other technologies.
* Other duties as assigned.
