Job Description:

Our client, a reputable law firm in Philadelphia, is looking for a Webinar Event Specialist to join their team on a temporary basis. The ideal candidate will have proven experience in event planning, particularly with webinars and seminars, and possess strong communication skills with attention to detail. This is a hybrid position, requiring candidates to be available to work from the Philadelphia office as needed.

About You:

  • A minimum of three years of administrative support experience in a professional setting, or an equivalent blend of education and experience; marketing or event planning experience is a plus.
  • Strong attention to detail with the ability to proofread for grammar, spelling, and typographical errors.
  • Exceptional organizational and time management skills, with the ability to prioritize and handle multiple tasks under deadlines.
  • Excellent verbal and written communication abilities.
  • Strong interpersonal skills with a focus on building positive relationships.
  • Dedicated to providing excellent customer service.
  • Able to effectively engage with both internal and external clients.

About the Job:

  • Coordinate with marketing to compile and update weekly HTML content for seminar and webinar schedules, ensuring timely distribution.
  • Maintain and update the marketing list in the CRM by adding attendees, tracking course activities, and keeping lists organized.
  • After approval, research advertising opportunities, secure pricing and ad space, and coordinate graphics with internal teams and external vendors.
  • Organize logistics for seminars, webinars, and client events, including booking venues, preparing materials, coordinating shipping, and assisting with event setup and breakdown.
  • Respond to attendee inquiries, process course registrations, handle refunds, and follow up with attendees by distributing course materials and certifications.
  • Update and organize course documentation, maintain files, and prepare regular reports on attendance and program progress for senior leadership.

This opportunity is a temporary position with our client that is paying up to $38.50/hr depending on experience. They are located in Philadelphia and will require the candidate to come into their office on a hybrid basis.
