This position plays a critical role in the administration and management of the testing and enrollment processes at the Center for Adult Education. The successful candidate will ensure the smooth operation of all test sessions, maintain accurate records, and facilitate a seamless enrollment experience for adult ed students.RESPONSIBILITIES: Specific duties for this position include:
- Lead Proctoring Duties
- Serve as the lead proctor for all tests, including pre-tests, post-tests, credential testing, practice HiSET testing and High School Equivalency (HSE) testing.
- Create and manage the proctor schedule to ensure an appropriate number of test sessions are offered.
- Ensure all testing sessions are conducted in compliance with funder and test publisher requirements and standards.
- Oversee the testing environment setup, ensuring all necessary materials and equipment are available and functioning.
- Assist learners in understanding the testing process and requirements.
- Record Maintenance and Data Management
- Maintain comprehensive records for all types of tests administered, including pre-test, post-test, HiSET practice test and credential testing.
- Enter and manage data in the LACES system accurately and promptly.
- Track and manage attendance records for all testing sessions.
- Enter all student information retrieved from Google intake forms into the LACES system.
- Identify gaps and inconsistencies in data and resolve them.
- Maintain accurate and current staff records in LACES.
- Provide relevant data and information to stakeholders as required.
- Assist in the preparation and generation of reports, ensuring they are detailed and accurate.
- Develop checks and balances to monitor and ensure the quality and accuracy of all data entered and reported.
- Follow all procedures as outlined in the FY24-FY28 Massachusetts Policies for Effective
- Adult Education in Community Adult Learning Centers (CALCs)
- Be proactive about data collection and the identification of potential issues.
- Enrollment Facilitation
- Work with colleagues in the department to facilitate a smooth enrollment experience for adult learners by providing necessary support.
- Promptly address and resolve any issues or concerns that may arise during the enrollment and testing process.
- Quality Assurance
- Implement quality control measures to ensure the accuracy and reliability of data.
- Conduct regular audits of testing records and data entries to identify and correct discrepancies.
- Develop and update department policies and procedures related to testing and data management to enhance efficiency and compliance.

- Bachelor's degree in Education, Counseling, Psychology, Business Administration, Mathematics, Computer Science, or other field related to area of assignment; with three (3) years experience and/or training involving area of assignment, which may include college registration, academic advisement, career development, career experience, training, curriculum development, audio/visual or graphic production, grant administration, budget development, program/project management, event planning, administrative work in an academic environment, or personal computer operations; or an equivalent combination of education, training, and experience.
- Proven experience in a testing or educational environment.
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Proficiency in data entry and management systems, particularly Excel and LACES.
- Strong interpersonal and communication skills.
- Ability to work independently and as part of a team.
- Familiarity with funder standards and best practices in testing and data management.
PREFERRED QUALIFICATIONS:
- Experience working in an adult education program.
- Bilingual (Spanish/English/French/Haitian Creole)
- Strong proficiency in Microsoft Office Suite, particularly Excel and Word.
- Experience working with and supporting a culturally diverse population

Additional Information: GRADE AND SALARY: Anticipated salary range is $60,730.00 - $65,428.00 (MCCC Pay Grade 4 with a Bachelor's degree) annually with complete fringe benefit package.
