Job Description:

Position Summary The Third-Party Billing Specialist is responsible for managing and processing third-party billing and payments for students whose tuition and fees are covered by external organizations. This position ensures timely and accurate invoicing, reconciliation of accounts, and compliance with institutional and third-party policies. The role requires strong communication skills (face-to-face, phone, and email communication), attention to detail, and proficiency in managing financial data while delivering exceptional customer service to students, third-party sponsors, faculty, and staff. Key Responsibilities

  • Customer Service & Student Advocacy: Provide exceptional customer service and student advocacy by maintaining a positive, approachable, and adaptable attitude. Demonstrate strong problem-solving skills with a focus on identifying and supporting student success.
  • Third-Party Sponsor Account Management: Serve as the primary point of contact for third-party sponsor accounts. Responsible for invoicing sponsors, tracking and following up on delinquent accounts, and addressing inquiries from internal and external stakeholders regarding account setup and maintenance.
  • Invoicing & Processing: Ensure timely and accurate invoicing and processing for all third-party sponsor accounts and external scholarships, including but not limited to:
    • Apprentice
    • Achieve Your Degree
    • K14 Initiatives
    • Corporate Sponsorships
    • Veteran Affairs (VA)
    • DWD Portal / Skills Training Courses
  • Student Accounts Support: Provide direct support to students by collecting payments and offering detailed account information. Address inquiries from internal departments while adhering to FERPA regulations, ensuring smooth communication related to student accounts.
  • Bursar Backup Support: Serve as backup for the Bursar as needed, assisting with financial tasks, student account services, and other Bursar-related responsibilities to ensure continuous operational support.
  • Account Reconciliation: Monitor and reconcile third-party accounts, ensuring all payments are correctly applied and any discrepancies are promptly addressed.
  • Documentation: Maintain accurate and up-to-date records of third-party billing agreements, payments, and communications. Ensure compliance with college policies and third-party agreements.
  • Problem Resolution: Investigate and resolve billing discrepancies and disputes with third-party payers and students in a timely manner.
  • Reporting: Generate and distribute regular reports on third-party billing activities to relevant stakeholders, including department heads.
  • Additional Duties: Perform all other related tasks and responsibilities as assigned, in line with industry best practices.
Skills
  • Proficiency in accounting and billing software (e.g., Banner, Workday, or similar systems)
  • Strong organizational skills and attention to detail
  • Excellent communication and customer service skills
  • Ability to analyze financial data and resolve discrepancies
  • Familiarity with FERPA and other relevant privacy regulations
Pay The pay range for this position is $21.15 to $25.00 per hour. Minimum Qualifications
  • Associates degree in Business, Accounting or a related field preferred. Equivalent work experience may be considered.

  • Bachelor's degree or master's degree
Work Environment This position operates in a typical office setting. Occasional evening or weekend work may be required during peak billing periods or events.
