This role requires a detail-oriented individual who excels in managing administrative tasks, projects, and special assignments while interacting with a diverse range of internal and external stakeholders. Key Responsibilities:

  • Provide comprehensive administrative support to the Fleet Manager, serving as the primary liaison for the department and key stakeholders.
  • Maintain and update the fleet database, ensuring timely processing of vehicle assignments, fuel pins, cost center, and location information.
  • Ensure compliance with internal company processes, maintenance service schedules, mandatory inspections, and safety policies related to fleet operations.
  • Coordinate with vendor call center operations to review and authorize repair and maintenance service requests using our network of suppliers.
  • Reconcile and review weekly and monthly fleet invoices.
  • Handle vehicle registration renewals and ensure proper enrollment in the tolling system.
  • Review and reconcile tolls and violations promptly.
  • Actively communicate with the fleet manager, operations management, financial manager, and vehicle/equipment operators to resolve vehicle/equipment issues.
  • Manage DMV vehicle registrations, inspections, licensing, and regulatory compliance.
  • Assist in preparing and reviewing reports and presentations using Word, Excel, PowerPoint, and SharePoint.
  • Maintain the tool database and manage vehicle and tool reconciliations, submitting them to the Financial Manager monthly.
  • Organize and manage the Asset/Fleet filing system, ensuring efficient document storage, retrieval, and compliance with data security protocols.
  • Perform other duties as assigned.

Qualifications:

  • High School Diploma
  • 5 years of administrative experience
  • Proficiency in MS Office Suite, with strong Excel skills including VLOOKUP and pivot tables
  • Excellent research and analytical skills
  • Strong time management skills
  • Exceptional verbal and written communication skills
