Job Title: Training Manager - EPIC Location: Raleigh/Durham, NC Duration: 10+ Months ** ONLY CANDIDATES WITH EPIC TRAINING MANAGER CERTIFICATION WILL BE CONSIDERED** ** Hybrid expectation- There will be a one-week orientation session in September, and likely 1 week per month during the project, with being onsite for about 2-4 weeks for each go live prep and go live support. About 8 times during the project on average but could be more** Job Description: Seeking experienced Epic Training Manager for an Epic EHR build for facilities operated by the client. Successful candidates must be able to perform in fast-paced environment. The Training Manager is responsible for:
- Serve as a lead for a team of 5 Epic Principal Trainers for clinical, revenue, access, and analytics end users, along with additional go-live credentialed trainers, specialty champions, nurse champions, nurse trainers, and any other supplemental training staff
- ssisting DSOHF to define training policies and procedures for the EHR system.
- Communicating training policies and procedures across the organization and for overall coordination and management of training activities and trainers.
- The overall implementation of your Epic end-user training program as well as ongoing education and maintenance of the training program after go-live.
- Determining curriculum delivery methods, overseeing the creation and maintenance of a realistic training environment (MST).
- Providing support and troubleshooting issues that arise in the training environment
- Developing a training environment strategy, which includes coordinating the training environments, refreshing schedules, and developing playground and practice environments.
- Engaging with other EHR project leaders, operational managers, and the Epic team to develop and implement a role analysis process that will identify all users who will need Epic access and map these users to Epic-defined job roles. This task includes working with operational managers to understand job functions that are performed by staff in their departments.
- Coordinating initial Epic training for super users and super user leads. This task includes working closely with Epic to educate project and operational leadership about the purpose and structure of super user lead training.
- Communicating with super user leads throughout the project to ensure that they are staying engaged and are prepared to support end-user training, go-live readiness, and post-go live support.
- Developing processes for staff, providers, and managers to escalate questions and concerns about class assignments and registration and working closely with Epic to address changes if needed.
- Providing Epic with the appropriate data to import trainee information into the Epic Training Platform
- Communicating training registration and completion data from Epic to operational and project leadership and defining the proper escalation paths if either of these areas are off track.
- Ensuring all staff have appropriate Epic training tracks assigned and are registered for Epic classes
- Coordinating with project leadership to securing training rooms, workstations, printers, projectors, screens, barcode scanners, and other equipment needed for virtual Epic-led training and any operationally led day-in-the-life activities that require a computer lab
- Using Epic-provided tools as a starting point, creating and executing an overall vision for an end-user engagement program, including day-in-the-life activities for every role.
- Outlining and forming additional educational and communication plans.
- Maintaining the State's existing Learning Management System ?LMS, i.e., Cornerstone).
- Communicating with project leadership about training milestones, policies, and decisions
- Designing the course offerings and course catalog in the LMS
- Securing training rooms, workstations, printers, projectors and screens, barcode scanners, and other equipment needed for classroom training.
- Creating an efficient schedule for classroom training.
- Developing and executing the credentialed trainer program to onboard classroom trainers.
- Managing training team tasks.
- Managing the specialty physician training program and the nurse training program.
- ssessing risks and issues associated with the training program.
- Determining the types of curriculum delivery methods 'such as instructor led classes, e-learning, and blended learning? that will be used during super user training and end user training.
- Setting training requirements for end-user system access and getting buy-in on this decision from project and operational leadership
- Developing post-live training for new hires, refresher training, optimization, upgrade training, etc.
- Creating and executing an overall vision for the training program, including requesting support from project leadership
- Outlining and forming additional educational plans as desired by the organization.
- Transitioning from implementation to maintaining training after go-live.
- Developing long-term training plan, including identification of management and leadership:
- Creating a series of refresher training classes immediately following go-live
- Overseeing skills enhancement training
- Collaborating with facility-based training staff to develop Epic-specific training for new employees.
- Planning how to deliver new information about the system to end users before upgrades ensuring all users are trained before they access the production environment.
Skills:
- Epic Training Manager experience
- Completion of EpicCare Inpatient Fundamentals and/or EpicCare Ambulatory Fundamentals classes
- EHR/Health IT training experience
- Epic Training Environment Build experience
- Capacity to manage multiple competing objectives and to clearly communicate results
