ABOUT THIS POSITION The City of Phoenix Public Transit Department is the managing department for the City's transit services including local bus routes, RAPID commuter service, neighborhood circulators, Phoenix Dial-a-Ride, and alternative transportation programs for senior citizens and persons with disabilities through contracts with private companies that manage day-to-day transit operations.The Management Services Division of the Public Transit Department consists of three sections: Fiscal, Transit Centers and Revenue Support, and Fare Media Programs. This division is responsible for department budgeting and accounting, providing customer support to transit passengers, managing fare media and pass sales, supporting regional revenue, financial planning for the City's transit program, and overseeing the financial management of transit services purchased by other agencies in the region.The Management Services Division is looking for an administrative professional to fill the position of Administrative Assistant II. This role is crucial to the department and involves performing advanced administrative and support duties.Responsibilities include:
  • Distribute monthly reports to various Public Transit divisions and sections.
  • Provide backup support for various sections of the Management Services Division.
  • Assist the Fiscal Section with administrative duties, such as administrative financial report preparation.
  • Prepare new employee EEO reports and submit them to the Transit Federal Compliance section of the Director's Office.
  • Coordinate preparation of the weekly report for the division and submissions to Deputy Director.
  • Support the Deputy Director in the preparation of the monthly Citizens Transportation Commission reporting of the Transportation 2050 (T2050) financial report.
  • Process travel requests for the Management Services Division in accordance with established policies and procedures.
  • Demonstrate continuous effort to improve operations, streamline work processes, and work cooperatively and jointly with peers, customers, partners, and stakeholders.
  • Perform other duties as assigned.

SALARY Pay Range: $66,185.60 to $107,806.40 annually.Hiring Range: $66,185.60 to $107,806.40 annually.Pay Range Explanation:

  • Bachelor's degree in public or business administration or a related field.
  • Three years of professional experience in public administration or governmental research or finance.
  • Other combinations of education and experience that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS The minimum qualifications listed above, plus:Experience with:
  • Managing administrative projects.
  • Providing customer service to internal and external customers.
  • SAP and SRM purchasing software or similar.
  • Updating/drafting policies and procedures.
  • Creating, managing, and monitoring/tracking systems.
  • Analyzing, processing, and maintaining documentation.
  • Evaluating and streamlining programs for effectiveness and efficiency.
  • Working for a large governmental or similar agency providing high-level administrative or management support.
  • Prioritizing and organizing responsibilities.
