Job Description: Under general supervision, the Contract Legal Administrative Assistant performs a variety of specialized/complex secretarial and administrative support functions for two or more timekeepers, and performs other work as required.
Responsibilities: Litigation:
Support attorneys in the Litigation practice group by maintaining and processing case information, managing the progression of cases to final disposition, creating electronic files, preparing, and processing correspondence, memoranda, and other complex legal documents.
Litigation duties include preparing documents for state and federal court filings, including discovery requests and responses, letters, pleadings, motions, and documents, as well as e-filing in various state and federal courts, both trial and appellate.
Manage calendars and schedule meetings, teleconferences, networking events, and court dates.
E&T:
Editing estate planning documents (entering attorney changes, typing revisions, checking spacing, and formatting).
Coordinating executed estate planning documents to be sent to clients.
Witnessing and notarizing estate planning documents.
Organizing and safely-handling client personal documents, financial asset information, and original documents. General:
Prepare and draft a variety of legal documents.
Assist with the new client/matter process, ensuring timely submission of all forms.
Open, organize, maintain, and close paper and electronic client files and pleading binders.
Research, prepare, and file legal documents with courts and other agencies under attorney supervision.
Handle extensive client contact via phone, email, and in-person.
Complete and track expense reports, credit card reconciliations, and reimbursements.
Provide back-up support to the Receptionist.
Perform other related duties as required.
Requirements:
Bachelor's degree or equivalent experience.
3+ years of experience in administrative support in the legal or professional services sector, including experience supporting litigation practices.
Familiar with MD, DC and/or Virginia Court Systems and e-filing.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), Internet research skills, document management systems, and attorney time entry software.
Proactive work style with strong analytical skills needed for reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents.
Excellent production skills, capable of producing accurate work when transcribing, formatting, inputting data, editing, copying, scanning, and transmitting text, data, and graphics.
Exceptional client service skills with a proven record of building effective relationships with internal and external clients.
