Level of Supervision Received Supervision - The incumbent performs a variety of routine duties within established policies and procedures or by referral to the supervisor's guidelines. Position Custom Scope This is an on-campus position. Under the supervision of the Director, the incumbent will coordinate all special events and programs sponsored by the Undergraduate (UG) Programs Office, such as Coffee Chats, Career Events, Academic Events, and Student Leadership conferences. This includes all aspects of event management, such as logistics and purchasing. The incumbent will also provide advice and assistance to students on academic and degree progress and major requirements. Assists students in determining a major, alternative academic option, resolving scheduling conflicts, and similar issues. The program coordinator will support the Director with aspects of the office administration and operations that directly impact students, faculty, student workers, staff, and the graduate advising department. Key Responsibilities Description % Time Support Director/Assistant Director in all front desk operations including resolution of concerns or complaints and support in scheduling/rescheduling appointments. Supervise, hire, train, and maintain work schedules for all student assistants assigned to front desk operations. Compiles and prepares all purchasing documentation and works with the Dean's office Transactors on behalf of the Undergraduate Program including reimbursements, P.Os, campus recharges, and travel. Works with the Director and Assistant Director to verify and track UG budget and fund availability and ensure that all requests comply with applicable regulations and policies. Supports all department operations. 30 % Events: Coordinates and implements non-complex student events and assists in the planning and implementation of complex events. - Coordinate all special events and programs sponsored by the Undergraduate (UG) Programs Office, i.e. Career Recruitments, Academic Events, Coffee Chats, and the Student Leadership Conference, including all aspects of event management, ie logistics, and purchasing. - Primary point of contact for all Business Student Organizations and UG Programs Office representative for the School of Business Leadership Council (SBLC). - Provides support to all joint events planned within the School of Business, ie Beta Gamma Sigma (BGS), Etiquette Dinner, and Commencement. - Support recruitment and admissions initiatives as needed when assigned by the Director and Assistant Director. - Helps coordinate business-specific recruitment and admissions events. On occasion, visits to high schools and community colleges may be required. 30 % Academic Advising: Provides advice and assistance to students on academic and degree progress and major requirements; assists students in determining a major, alternative academic options, resolve scheduling conflicts, and similar issues. - Utilize campus student information databases and CMS systems (ie BANNER, Target X, Slate) to support the Director and academic advising staff with the administration of major changes, concentrations, graduation applications, etc. - Assist current and prospective students with general information about the Undergraduate Program, the School of Business, and UCR resources. - Support academic advisors by coordinating advising and career-related workshops and events, including mandatory workshops and orientation. - The primary individual responsible for managing the undergraduate email account and student support for reception. 10 % Recruitment and Admissions: Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits. 10 % Communications/Marketing: In support of the Director and Assistant Director, develop and implement the undergraduate office student assistant handbook. Creating and maintaining Canvas/elearn accounts with Undergraduate Business Programs information. Responsible for maintaining all aspects of the UG email account ie, general email correspondence to students and stakeholders. Monitoring and updating (as needed) UG databases, website, and social media accounts. Student Orientation: Coordinate orientation(s) for new School of Business undergraduate students. 10 % Financial Aid: Participates in the processing, evaluation, and awarding of student fellowships, grants, and other awards; advises students on financial aid options. 5 % Applies professional student services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization. 5 % Education & Experience Education Requirements Degree Requirement Bachelor's degree in related area and/or equivalent experience/training.
