We are currently seeking an organized and motivated Unit Clerk to assist with ensuring the health and well-being of our residents by providing administrative support. This position is responsible for coordinating proper placement of documents in Medical Record; performing secretarial duties for assigned unit; assist with inventory and requisitioning of nursing supplies, forms and stock medications; schedule various appointments, laboratory or other diagnostic needs.

Unit Clerk Status Options Defined:
- Part-time: Three - 7.5 hour shifts per week, Monday through Friday.
Unit Clerk Shift Options (7.5-hour shifts):
- 8:00am to 4:00pm
- 9:00am to 5:00pm

Day-to-Day tasks for Unit Clerk include, but are not limited to:
- Demonstrates understanding and implementation of regulatory guidelines; audits medical records of individuals and maintains required audit documentation.
- Closes Medical Records following the hospitalization or permanent discharge of the individual.
- Performs other medical procedures under the direction of the DON/ADON.
- Upholds all rules pertaining to protection, safekeeping, and confidentiality of information regarding individuals.
- Assists with preparation of Admission/Discharge Summary form.
- Assists with individuals required school paperwork.
- Types organizational lists and performs other secretarial functions for the unit.
- Answers call light signals; directs or assists as appropriate.
- Coordinates the preparation of forms and documents needed periodically for Medical Records and Care Plan meetings.
- Coordinates obtaining of information from all disciplines for Inter-disciplinary Discharge Summary and sending information to appropriate destination in a timely manner.
- Schedules Audiology and Dental Consultant appointments for individuals; assist with record keeping related to influenza vaccinations, if applicable.
- Notifies attending physicians of due date for visits, as required.
- Responsible for inventory and requisition supplies needed on the nursing unit, including nursing treatment supplies and printing of forms, as assigned
- Handles all information about individuals in a confidential manner.
- Assists with transporting individuals as necessary and directed by supervisor or managerial staff.
- Assists with census accuracy in electronic medical record (EMR).
- Assists with monthly reconciliation of trail billing.
- Ensures individuals tasks are assigned and accurately documented in electronic medical record (EMR) per care plan.
- Scans individuals medical records once physicians signature and date are verified.
- Assists with completing letters of medical necessity (LMNs) and insurance updates as needed.
- Assists DON with pharmacy review and prior authorization process.
- Ensures completion and accuracy of required time studies as assigned.
- Attends facility meetings, staff meetings, and required or preferred in-services.
Qualifications:
Unit Clerk qualifications:
High school diploma or GED required
Must be at least 21 years of age
Proficiency with computers and programs such as Microsoft Office and basic typing skills
Experience with medical terminology and electronic medical record (EMR); PointClickCare preferred
