Job Summary:The Unit Secretary is responsible for transcribing of orders, ordering supplies, entering patient charges, maintaining inventory of forms, and maintaining accurate patient charts. Also responsible for phone communications to set patient appointments, notify medical doctors of results, etc.Duties/Responsibilities:
- Use computer programs including order entry per policy as assigned.
- Complete all department documentation accurately as assigned.
- Accurately identifies all information before filing, collating, or reporting data.
- Maintain charts and files in a systematic order.
- Prepare and process routine correspondence as assigned.
- Enter data in to NICS and obtain PMP for physician.
- Process incoming and outgoing mail.
- Request and obtain past medical records for patients upon admission.
- Schedule patient appointments to meet the needs of customers.
- Assist with discharge planning by making appointments with other agencies and Out-Treatment.
- Complete Release of Information by obtaining data from discharge releases and other agencies.
- Maintain case management list.
- Complete reports as assigned.
- Prepare information packets and discharge packets as assigned.
- Complete special ordering through Purchasing as needed.
- Fax information for social worker and others as assigned.
- Maintain unit calendar of appointments.
- Complete OH and EMTALA transfer forms as needed.
- Maintain proper level of stock and supplies as unit/department requires.
- Provide basic customer service including but not limited to: answering door, phones and assisting customers appropriately.
- Handle telephone information with courtesy, accuracy and respect for confidentiality.
- Follow the chain of command appropriately to resolve problems and concerns.
- Notify appropriate Mental Health personnel of patient requests and promptly reports matters requiring immediate nursing intervention.
- Maintain safe environment for staff and visitors; demonstrate complete knowledge of safety policies and procedures.
- Maintain confidentiality in all patient, hospital and physician-related information; demonstrates complete discretion when discussing patient information.
- Perform other duties as assigned.

Education and Experience:
- High School Diploma or GED required.
- One year office experience preferred.
Working Conditions:
- Prolonged periods of sitting at a desk and working on a computer as well as walking for extended periods of time.
- Ability to lift, push or pull up to 15 lbs. using proper body mechanics.
- Occasionally requires assembling, operating, checking, and maintaining equipment.
- Requires attendance of various meetings and participation on committees as required.
- Actively participates in in-service programs, in Quality Assurance programs and CQI, cross training; attends all mandatory classes as required; completes unit-specific competencies.
- Occasionally requires assignments to other units/shifts as hospital needs require.
- Position requires attendance, as scheduled, to ensure requirements are met.
- Complies with DOH requirements for annual health assessments and required immunizations.
