Be a part of a world-class academic healthcare system, UChicago Medicine Ingalls Memorial Hospital as a Unit Secretary in the Medical Surgical Department in Harvey. This position is a 100% onsite opportunity. You will need to be based in the greater Chicagoland area.

The Unit Secretary is under the leadership of the Manager and/or designee provides clerical support to assist in the delivery of quality care to patients. This involves clerical support activities which will facilitate the Patient Care Center operations including: transcription processing of physician orders, serves as a reception agent for all patients/family members, physician, patient care team members, other healthcare team members, and facilitates the channeling of information to appropriate points of service timely and accurately. Demonstrates necessary skills and knowledge to provide services for patients according to unit specific competencies as appropriate to the age of the patient served as delineated in the Centers Scope of Care. Knows, follows and actively supports the philosophy, mission and vision of Ingalls Memorial Hospital. Adheres to all hospital policies, procedures and standards of care. Observes and adheres to all corporate compliance requirements and communicates issues as they arise to the appropriate parties as identified in the Corporate Compliance Plan.Works in partnership with other patient care team members and pro-actively assists physicians and identifies and provides for individual patient and family needs, employing appropriate customer relation practices.

Essential Job Functions

  • Acts as a patient/family advocate
  • Maintains patient privacy and confidentially at all times
  • Strong patient advocate.Actively supports the vision, philosophy, mission, goals and objectives of the hospital
  • Acts as central information source of physicians and other health care professionals
  • Demonstrates knowledge of proper telephone function and proper telephone etiquette
  • Screens and coordinates incoming and outgoing calls including recording and reporting pages and messages
  • Answers call lights promptly, communicates patient needs to appropriate personnel, and follow up on patient requests to ensure response.
  • Transcribes medical staff orders in an accurate and timely manner
  • Notifies the patient care team and ancillary departments of outstanding orders either verbally or through computer entry as appropriate and ensure completion through tracking
  • Determines and schedules patient procedures/tests in an appropriate sequence.
  • Monitors Service Provider for accurate contact of patient consults
  • Communicates pertinent and timely information to appropriate departments and staff, on activities related to bed utilization.
  • Ensures accurate processing of orders and charges from admission through hospitalization
  • Ensure accurate maintenance of the patients medical record and all unit records
  • Verifies all documents contained within the medical record for complete and accurate patient information, including completion history and physical, and consents
  • Identifies outlier reports and forms and notes on audit tool for completion
  • Ensures completeness of the medical record and prepares for final assembly upon patient discharge; and correctly enters the records and its deficiencies into the MedData System
  • Participates in inventory ordering and the distribution of clerical supplies/patient forms and disposition of outdated forms
  • Monitors discharge activities related to the billing process

Required Qualifications

  • Must have Unit Secretary/Clerical experience, background and/or training
  • Successful completion of high school; GED or High Schol Diploma
  • Medical Terminology background is pre-requisite
  • Effective interpersonal skills in dealing with patient, families and co-workers
  • Ability to function effectively in an extended team environment
  • Ability to resolve conflict effectively and to give and receive feedback
  • Experience with MicroSoft Word and Excel
