Job Summary:
Join the client services team at UW Veterinary Care! This position performs administrative and customer service support for UW Veterinary Care (UWVC), to provide exemplary customer service to all clients, clinicians, and staff and ensure smooth administrative operations and optimize patient care. This essential position will support both hospital call center and medical records functions and will perform duties under limited supervision.
Responsibilities:
Performs administrative and customer service support in an office setting within a healthcare facility or clinic to provide quality customer service to all patients and staff and ensure smooth administrative operations.
* 35% Provides day-to-day operational support to medical work unit personnel
* 35% Prepares documents for patient admissions and appointments
* 10% Receives, submits, and responds to inquiries according to established policies and procedures
* 20% Process health record files and documents according to established policies and procedures
Tasks:
* Provide back-up coverage to Medical Records and Call Center staff during leaves of absence, lunch breaks, and provide backup relief of their tasks during busy spells
* Uploading medical records to the Hospital Information System (HIS), approximately 135+documents daily, and alerting appropriate services that new documents are available in the patient medical record
* Assist with maintaining and updating training documents for Call Center and Medical Records
* Filing and maintaining files for Medical Records
* Assist with annual archive project; Prepare and send medical records to offsite storage when needed; Manage the ordering and returning of medical records from offsite storage.
* Pull charts/medical records for research study requests
* Handle account cleanup in the HIS; updating client names, patient names, and merging duplicate accounts
* Add/cleanup referring veterinarian (rDVM) information in the hospital information system
* Handle rDVM requests for UWVC brochures, and maintain a log of same
* Assist with the release of records to staff, referring veterinarians, and clients
* Provide customer service and respond to inquiries regarding the paper and electronic health record
* Sort, file, and scan loose paperwork and medical records
* Other duties as assigned

Qualifications:
A minimum of 1 year of clerical experience preferred, particularly in a medical setting. Experience in a call center strongly preferred, and knowledge of medical terminology strongly preferred.
Work Schedule:
Monday-Friday, 8AM-5PM, with 1 hour lunch
Potential for on-call hours as required by the hospital.
