Job Description:

The Vice President of Tax Services is responsible for the national management and leadership of operational teams in 6 cities across 4 states. The position is responsible for ensuring excellent client service, satisfaction, and client retention. This position is part of Inova's Senior Management team and is responsible for ensuring that strategies are developed and executed to achieve Company goals and are in accordance with Company policies. This position will be responsible for ongoing team building, as well as developing and training new leaders within the organization. Oversight will include all elements of payroll tax filing service, performance measurement, process improvement, and ensuring that operational tasks are completed as scheduled in compliance with policies and procedures. The qualified candidate for this position will manage experienced operational teams, set goals, and provide direction in accordance with overall Company goals and objectives.

NEAR TERM PROJECT RESPONSIBILITIES

  • Oversee the successful consolidation of multiple tax processing licenses (MasterTax and Evolution) into a single-system solution and one MasterTax license.
  • Analyze the workload and responsibilities of Inova's current tax department to reimagine and properly align processes and team assignments within a single-system environment.
  • ONGOING DUTIES AND RESPONSIBILITIES

  • Provide leadership and oversight to ensure that all federal, state, and local payroll taxes are correctly withheld, reported, paid, and filed in compliance with laws and regulations across the entire US on behalf of Inova's client companies, across multiple systems and licenses.
  • Ensure department goals are continually met through proper staffing and alignment of processes.
  • Monitor tax notice activity ensuring timely resolution with tax authorities to avoid penalty and interest.
  • Responsible for managing, mentoring, coaching and developing personnel to meet current position requirements as well as progression proficiencies and succession planning.
  • Passionately engage team members to encourage continuous personal and professional development, and engaging internal training resources to maximum benefit.
  • Work with Inova's Finance and Treasury department to provide and assist with reconciliations on a monthly basis and as required.
  • Track and report errors and omissions while taking preventative measures and corrective action.
  • Plan, maintain, execute successful quarterly and year-end tax processing and reporting.
  • Maintain and evaluate Key Performance Indicators, with a focus on individual and team performance to ensure a positive balance between client satisfaction and internal staffing levels.
  • Maintain redundant and reliable processes and personnel to ensure business continuity.
  • Collaborate with internal teams to maintain and improve performance, processes, and ensuring that Inova continually meets the needs of current and prospective clients.
  • Couple existing expertise with new ideas to increase scalability while ensuring client satisfaction.
  • Stay current on federal, state and local regulations impacting the payroll tax filing process.
  • Identify potential areas of risk or vulnerabilities and develop specific actionable solutions.
  • Identify and lead projects for deployment of new tools and technologies.
  • Identify and resolve areas of miscommunication or procedural gaps between departments.
  • Serve as subject-matter expert at the executive level and across the company.
  • Ensure strict compliance to SOX, MTL and SOC1 requirements and participate in audit processes.
  • Promote and enforce adherence to personnel policies and procedures.
  • Focused on prevention and immediate escalation of any suspicious or potentially fraudulent activity.
  • Work with external vendors and suppliers as needed.
  • Perform and/or oversee the management and completion of special projects assigned.
  • Minimum Requirements:

  • Minimum of 5 years of prior management success in a dynamic payroll service bureau environment.
  • Demonstrated leadership involving skilled teams and change management.
  • Experienced and extremely comfortable with payroll industry technologies and processes, adoption of new systems, and use of physical office technology.
  • Payroll, accounting or banking related certifications strongly preferred.
  • Bachelor's Degree required.
  • Exceptional knowledge and understanding of payroll tax compliance is essential.
