Job Title: Visitor Services CoordinatorReports to: Manager of Visitor ExperienceFLSA Statues: Non-exemptHours: 40 hours/weekSalary: $40,000/yearDate: September 20, 2024Visitor Services CoordinatorThe Concord Museum is seeking an energetic and organized Visitor Services Coordinator to supportthe Visitor Services team by ensuring daily operations of the Museum run smoothly, scheduling group tours, overseeing facility rentals, and supporting gallery staff and Front Desk Associates. The VS Coordinator will report to the Manager of Visitor Experience who oversees service delivery and visitor learning in the galleries. The Visitor Services Coordinator will work one weekend day per week in order to provide support to the front desk and gallery staff with tours, programs, and serve as back-up at the front desk or staffing the galleries. The position will be a 40 hour per week hourly non-exempt position normally working a Tuesday through Saturday schedule.Front Desk Responsibilities Ensure that all functions at the front desk run smoothly and efficiently and that Front Desk Associates and gallery staff have the materials and support they need to successfully serve visitors.Work at the front desk of the museum two days per week helping to greet and orient visitors, process admission payments, sell memberships, sell public program tickets, make shop sales, and coordinate gallery staff.Follow opening and closing procedures of the Museum and the galleries on assigned days and additionally as needed. Oversee operation of Museum during weekend hours one day per week; as the senior staff member on site, report any issues to senior management staff. Work with the Tessitura ticketing system both in the front and back office to run reports, enter ticketing information, and process payments. Group Tours Responsibilities The Visitor Services Coordinator will also be part of the Museum's group tour team and will book tour groups and make sure tours run smoothly upon arrival.Booking these groups will include working with tour operators and reaching out to local groups and organizations to cultivate new relationships for tours.Regular tasks will include communicating with group contacts, maintaining the group tour calendar, taking payments, sending confirmations, and communicating about staffing needs for the tour.The VS Coordinator will also be tour-trained to be able to give periodic tours to the public and support gallery staff on tours. Rentals and Facility The VS Coordinator will oversee the facility rental program at the museum, which requires periodic evening hours.Overseeing facility rentals will include understanding client needs, communicating with vendors, collecting payments and rental contracts, and managing staffing the day of the event. Ensure gallery interpretive staff is scheduled, prepped, and trained for rentals and events at the museum. Assist with set-up and breakdown of events, greet contractors at the front desk, and keep an eye on the general facility to report any building issues to senior staff.The weekly schedule will shift slightly on an as-needed basis depending on these special programs, events, tours, or rentals. Education and Visitor Learning The Visitor Services Coordinator will be a member of the Education Team and will therefore have the opportunity to support other educational initiatives including: Family craftsGallery interpretation and staffing during programs or special eventsStaff tour trainingAudio guide implementationGallery cart program Qualifications Exceptional customer service and communication skills.Six months to one year of related experience or training; preferably in a cultural institution.Preferred Bachelor's degree (B.A.) with a focus in history, education, or related major.Must be reliable and comfortable working in a team environment.Familiarity with Tessitura or a similar ticketing system is a plus. Training can be provided if necessary.
