The Warranty Associate is responsible for managing and processing warranty claims for automotive dealerships. This position will be responsible for ensuring that all warranty-related paperwork is completed, submitted, and filed in a timely manner, and for keeping accurate records of all warranty claims. The Warranty Associate interacts daily with Service Managers, Technicians, Brand Manufacturers, other dealership staff, and most importantly, our customers.

Experience:
  • Must be at least 18 years old
  • Valid Driver's License

  • Physical Requirements:

    The position is based in a normal automotive dealership environment. Occasional physical activity such as reaching below and above shoulder level, kneeling, bending, squatting, and stooping to inspect repairs, and lifting and carrying objects over 25lbs. There may be potential exposure to fumes, chemicals, dust, along with high levels of noise. The noise level in the work environment is usually moderately noisy. The position will experience frequent sedentary work, in an office environment. The employee must have visual acuity to determine the accuracy and thoroughness of the work assigned. While performing the duties of this job, the employee may occasionally work near moving mechanical parts or in outside weather conditions. The employee may occasionally be exposed to wet and/or humid conditions, fumes, toxic or caustic chemicals. Subject to weather conditions both inside and outside.

    Time Keeping Requirements:

    This position is expected to clock in and out for each work shift. There is also an expectation to take a minimum of 30 minutes unpaid meal break before the 5th hour of each shift. If working more than 12 hours in a day, an additional 30-minute unpaid meal break must be taken before the 10th hour in each 12-hour shift.

    Responsibilities:
  • Manage and process warranty claims for automotive dealership(s), including submitting claims to manufacturers, tracking claim status, and following up on any issues or discrepancies.
  • Work closely with service technicians and customers to ensure that all necessary information and documentation is collected and recorded accurately for compliant warranty claims.
  • Maintain accurate records of all warranty claims, including claims history, customer information, and service records.
  • Close repair orders based on confirmation of all required and compliant content to proceed to claiming repair warranty claims and reimbursement from OEM.
  • Learn and apply warranty coding based on repairs performed into OEM website. Measure performance of first-time submission, suspended claims, warranty rating from OEM and other metrics for performance.
  • Post reimbursement credits for approved claims, or work with office manager to apply credits and maintain warranty receivable schedules to ensure payment of work completed in warranty channel.
  • Communicate with manufacturers to resolve any issues related to warranty claims, including negotiating reimbursement and resolving any disputes.
  • Keep up-to-date with changes in warranty policies and procedures, and ensure that all dealership staff are informed of any changes.
  • Assist with other administrative tasks as needed, such as answering phones, scheduling appointments, and filing paperwork.
  • Ad hoc projects or assistance in closing portfolio, sunbit, Auto Integrate (fleet) AR, OEM service and maintenance contracts, transportation claims, etc.
  • Other duties as assigned.
