Job Description:

Summary: Jorgensen Farms is made up of multiple divisions, creating a unique agritourism environment that blends organic farming with special events. The Jorgensen Wedding & Event Coordinator position encompasses every aspect in terms of planning, communicating, and executing each event. This role requires a commitment to supporting clients on a human level, fostering a friendly rapport while providing valuable guidance and assistance. Responsibilities:

  • Collaborates closely with each assigned client primarily by phone, text, email, and scheduling and facilitating client meetings to understand the client's preferences and unique requirements for the event
  • Directs and supervises Event Assistants on the day of the event, providing clear guidance by delegating tasks effectively
  • Creates unique indoor and outdoor layouts for each event utilizing 3-D Event Designer and ensures accurate completion.
  • Manages the execution of the wedding rehearsal and ceremony, when applicable
  • Manages the wedding party, assisting with any special requests or needs throughout the event
  • Maintains regular communication in collaboration with the Catering Management team, Event Supervisors, and other departments to ensure event success
  • Supports the Office and Accounts Manager with maintaining vendor insurance, as specified in the Rental Agreement
  • Creates and facilitates timelines for the entirety of the event
  • Anticipates and plans for potential scenarios that could impact the integrity of the event
  • Ensures that client issues are communicated in an efficient and professional manner
  • Serves as client liaison with vendors by ensuring Jorgensen qualifications are met, processes and procedures are followed, insurance information is submitted, and quality standards are upheld
  • Coordinates delivery, reception, and management of all rental and client event items
  • Works closely with vendors on the day of the event to ensure the timeline, event flow, and all other aspects align with the client's expectations
  • Assists with the setup of ceremony and reception spaces, ensuring that decor elements are arranged according to the client's wishes
  • Has an understanding of venue capabilities and service and effectively communicates to client
  • Maintains awareness of Plain Township/City of Columbus ordinances, rules, and regulations
  • Recognizes requirements for emergency intervention and acts accordingly
  • Assist with site tours as needed
  • Monitor and evaluate event performance through post-event analysis and feedback, making recommendations for improvement
  • Whatever it takes to create a comfortable, welcoming, and supportive environment for all staff and guests
Requirements Qualifications:
  • Ability to initiate and independently manage multiple tasks and projects to meet deadlines
  • 3-D Event Designer or similar floor plan generator experience preferred
  • Tripleseat or similar CRM experience preferred
  • Drive to succeed in special event management by consistently providing outstanding customer service
  • Ability to work in a fast-paced, team environment and handle a challenging and multi-tasking environment
  • Ability to communicate effectively with clients and colleagues through verbal and written methods
  • Ability to remain calm under pressure, handle stress well, and think on your feet
  • Technological competence
  • Detail Oriented
  • Minimum of 2 years of event management experience required
  • Catering and Wedding knowledge preferred
  • Associate degree in Hospitality Management or related field preferred
  • Have the willingness to do whatever it takes to get the job done
Compensation:
  • Pay Range is $22-$25/hour and is commensurate with experience
