Job Description:
MINIMUM REQUIRED QUALIFICATIONS: High School Diploma or GED Certificate. Associate's degree preferred. 5 years of experience in computer systems and workflow understanding. Experience with SAP, RUS and NTUA Water/Wastewater construction standards and specifications preferred. Bilingual English/Navajo Preferred. Valid Driver's License required (subject to motor record review). JOB RESPONSIBILITIES AND PERFORMANCE OBJECTIVES: Acts in an advisory capacity in management discussions regarding the use of systems, data, recommending identified ways to improve the overall processes of work order management. Works continually on the development of monitoring, tracking, and reporting processes to be used in the day-to-day operational management of capital/ O&M functions companywide. Routinely reviews, assesses company processes to identify bottlenecks, assesses possible stops, delays and designs enhancements or improvement to process. Trains and conducts rollout. Routinely searches out and identifies documented processes and through investigation, interview and research develops new processes and publishes standard operating procedures (SOP). Implements training and rollout. Acts as a technical assistance avenue to report problems with current systems and processes. Facilitate solutions. Develops periodic assessment timeline to ensure processes stay current and continuously improved or updated. Analyzes data for correct use of functions and completeness; analyzes current processes to seek improved solutions. Develops and delivers training for staff associated with work order processes and SAP system functionalities. Sorts, organizes and files incoming joint-use attachment permits from communication companies. Acts as liaison between NTUA and communication companies. Follows up and communicates to ensure all communication deviations are corrected in a timely manner. Addresses the deviations stated in the inspection letters by properly communicating to proper district personnel and/or communication companies. Prepares project status reports for immediate supervisor. Indexes (sort & list) projects in preparation for selection and forward the indexed listing to the supervisor to select and review. Reviews, verifies and updates data entered into database throughout the inspection process. Composes letter and/or e-mail to the field inspector to initiate process. Photocopies selected project documents in preparation for inspection and sends to the field inspector. Categorizes and sorts projects according to inspection status (Approved, Not Approved, Approved-No Deviations Noted, Approved-Not Reviewed, Approved-Corrective Action Completed) and forward to accounting for final close-out (RUS Form 219). Informs proper districts personnel on projects with deviations that must be corrected in a timely manner. Follows-up and tracks progress. Assists other departmental staff during periods of peak workload. Examine, check, and verify reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements, and follow up on discrepancies. Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs information gathering and analysis and/or forecasting, as specifically directed. Maintains records in accordance with established policies and procedures and audit guidelines. Performs other duties as assigned.
