Job Title Workforce Technician Job Description
Responsible for workforce training project data entry, documentation, and reporting. Reports to the Associate Vice President of Workforce Solutions and/or Workforce Director for assigned training projects.
Job Duties
1. Provide assistance and clerical support for the Workforce Solutions division.
2. Prepare and process contracts, load sheets, new hire paperwork for employees, timecards, payroll, and similar paperwork.
3. Create classes and register trainees in Banner, WESS, Lumens, and/or any other appropriate software or platforms.
4. Purchase textbooks, supplies, and/or equipment through procurement card and/or purchase orders, maintaining detailed records of purchases.
5. Maintain an accurate and organized filing system that is easily accessible for retrieval of archival records and documents with an emphasis on electronic records management, include direct assistance with preparing for audits conducted by external agencies.
6. Proficiency utilizing Microsoft Office suite including Word, Excel and Power Point.
7. Compile and maintain data on workforce development activities and ensure that all necessary documentation is included in the project, including being worthy of audit review.
8. Assist in producing quarterly reports for workforce training. Create and maintain Excel spread sheets for tracking and documentation of training activities.
9. Work to maintain proper public relations with the community as a representative of MGCCC.
10. Attend all departmental, company, and college meetings as assigned.
11. Adhere to MGCCC calendar and work schedules unless otherwise directed.
12. Perform duties independently with excellence and exercise a high degree of initiative in determining the approach/action to take in routine and non-routine situations.
13. Exhibit a high degree of confidentiality.
14. Professionally and courteously accept calls, aiding and administering information to callers when appropriate.
15. Provide attention to details in correspondence, such as complete information as to the nature of all phone calls or visits.
16. Communicate issues or conflicts effectively and timely to the Workforce Director and/or Associate VP of Workforce Solutions.
17. Maintain an effective working relationship with business partners and college personnel.
18. Upgrade skill level and performance through the College's Employee Development Program (EDP), at a minimum of 15 hours annually.
19. Abide by MGCCC and AccelerateMS policies and procedures including benefits, travel, reporting requirements, timecards, payroll, etc.
20. Provide administrative clerical support for the Director of Workforce Projects and/or Associate VP of Workforce Solutions.
21. Assist the Director of Workforce Projects and/or Associate VP of Workforce Solutions in maintaining an active and current calendar and in preparation for and carrying out scheduled activities.
22. Champion the role the college plays in service to the community.
23. Perform other duties as assigned by the Director of Workforce Projects and/or Associate VP of Workforce Solutions.
Mandatory Qualifications
(M1) Associate's Degree from a regionally accredited institution of higher education.
(M2) Training and/or experience in the operation of personal computers, to include proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
(M3) Prior experience in an administrative office setting.
(M4) Prior experience with accounting, book keeping, and/or budgets.
(M5) Effective interpersonal and communication skills.
(M6) Demonstrated organizational skills.
Desirable Qualifications
(D1) Bachelor's Degree in Business, Education, or a closely related field of study.
(D2) Experience using Banner by Ellucian or other administrative software.
(D3) Experience working with college students in a community college setting.
(D4) Experience with purchase orders and purchasing.
