Job Summary: Everest Global Services, a member of Everest Group, Ltd., is seeking a Workspace Project Manager with its Real Estate department in Warren, NJ. This position is responsible for the execution of Everest construction fit-out projects. This includes ensuring that projects meet company standards, are completed within scope, on time and within budget. The individual will partner with various internal departments, including Finance, Accounting and Legal, and manage applicable relationships with approved contractors, architects, engineers, furniture vendors, movers, and other stakeholders. We operate in a dynamic, start-up environment and are looking for someone who likes to take initiative, can effectively manage through ambiguity, and thrives in a fast-paced, agile setting. This is a hybrid position working 3 days in office, 2 remote.
Responsibilities include but are not limited to:Site Selection, planning and modeling:
- Assist with real estate transactions, including site selection and lease evaluation and negotiations, for new leases, renewals, closures, and space optimization.
- Review sites to determine construction effort, any issues to be factored into lease negotiations, and project costs.
- Collaborate with the project architect and engineer to design the floorplan in accordance with corporate policies and standards, ensuring adequate space allocation, incorporating needs of the business accordingly.
- Collaborate with key stakeholders and obtain approvals on project plans, test fits and floorplans.
Build Project Management:
- Lead and manage all phases of approved construction projects, buildouts, reconfigurations, and office moves.
- Create and manage detailed project plans, schedules, and budgets.
- Collaborate with cross-functional teams, architects, contractors, and vendors/trade people to ensure project success.
- Solicit and analyze proposals from contractors and other key vendors, work with external project manager to review bidding and selection process for larger scale projects.
- Monitor progress, identify and mitigate risks, and make necessary adjustments to keep projects on track.
- Conduct site visits to oversee project progress and ensure adherence to design specifications.
- Handle construction-related issues or disputes, ensuring timely resolution.
- Prepare TI allowance reimbursements documentation. Track receipt of payments and balances due.
- Coordinate and manage the logistics for office moves.
Budget Oversight:
- Develop budget for construction effort for lease consideration.
- Update and refine budget during lease negotiation and manage budget and projected costs throughout project completion, working with broker, architect, general contractor, furniture dealer and other vendors as needed to obtain costs.
- Communicate and request approval for variances in scope, budget or timeline.
- Work closely with finance team to ensure strategy alignment is within budgetary goals and financial targets.
- Ensure cost-effective solutions while maintaining quality standards.
- Review and approve project-related expenses.
- Provide budgets for all expense and capital projects as part of the annual budget cycle, and monthly analysis of budget vs. actual for all inflight projects.
Vendor and Contractor Management:
- Provide input, guidance, and recommendations to Procurement for consideration of key vendors (architect, contractor, furniture, etc.).
- Oversee vendor performance and compliance with contractual obligations.
Stakeholder Engagement and Communication
- Communicate project status, updates, and changes to relevant stakeholders including project progress, financial performance, and other key metrics.
- Maintain detailed data, records and documentation for all construction and relocation projects, including contracts, schedules, and reports, ensuring accuracy and compliance.
- Monitor real estate trends and market conditions to assist in making strategic recommendations.
- Perform adhoc projects as necessary.
Work Experience and Qualifications:- Bachelor's degree in Real Estate, Construction Management, Business Administration, Finance or a related field
- 5+ years of experience in real estate or related field
- Proven track record of successfully managing real estate projects
- Excellent project management, analytical and financial modeling skills
- Excellent communication and interpersonal skills
